Job Description |
|
|
- Accurate record keeping.
- Maintaining systems which ensure compliance with legislative requirements and policies relating to document distribution, retention and storage, including meeting papers, minutes, registers and archives.
- Collating papers and distributing agenda and papers for key AIA meetings eg SMT, AGM, all staff meetings etc.
- Minuting SMT, and all Staff Meetings.
- Coordinating logistics for meetings, both on and off-site, including accommodation, meals and hospitality.
- Providing ad-hoc support to the SMT
- Distribute IS weekly mailing and other key internal communication information internally and to key stakeholder groups.
- Coordinating meetings, events and speaking engagements, including organising travel and other necessary arrangements;
- Develop effective system to manage and coordinate ND diary ensuring most effective use of time and resources and ensuring sustainability
- Maintain a correspondence register and coordinate outgoing correspondence;
- Maintain filing and retrieval systems;
- Manage and coordinate an effective incoming and outgoing communications and correspondence system
- Maintain efficient filing and retrieval systems
- Manage incoming telephone calls in a positive manner ensuring all enquiries are dealt with promptly
- Collate the quarterly ND report and Dashboard
- Other administrative duties as required.
- Ensure all key information briefings and research is prepared for ND in advance of ND’s meetings
- Prepare presentations, speech notes, powerpoint presentations for ND as needed
- Prepare and monitor Board meeting budget
- Participate in identified key project teams
- Continue to build and maintain EA knowledge and skills.

Qualifications:
- Demonstrated experience in providing a range of administrative support services
- 5-7 years demonstrated experience in an equivalent position.
- Demonstrated experience in supporting a team in a PA or secretarial role
- Demonstrated experience working with a diverse range of stakeholders
- Above average written and verbal communication skills
- Good interpersonal skills, including ability to exercise tact, diplomacy and build effective relationships
- Demonstrated ability to make sound judgment in a dynamic work environment
- Strong sense of discretion and confidentiality
- Capacity to show initiative, take a common sense approach and ownership of accountabilities
- Above average skills in MS Word, PowerPoint and Excel.
- Confidence in using the internet;
- Understanding of and commitment to human rights.
- Good organising and planning skills.
- Typing speed of 60 WPM and above
- Microsoft Project 2003 experience
- Experience in minute taking.
