 Job Description
 
  • Provide a secretarial and administrative service of the highest standard to the Secretariat Director & General Counsel and Legal Counsels, enabling them to make optimum use of the time available, and to fulfil their duties in a timely and efficient manner.
  • Manage diaries and arrange meetings, telephone and video conferences.
  • Organise travel arrangements for the team including transport, hotel accommodation, travel documentation (including visas), insurance and foreign currencies.
  • Remain constantly aware of the whereabouts of the legal team and advise others, as appropriate, on how they might be contacted.
  • Compose and type general correspondence for the Director and Legal Counsels.
  • Type, format and proof-read briefing papers, minutes, reports, correspondence and legal documentation for the Director and Legal Counsels.
  • Maintain effective paper and electronic filing systems for the legal team.
 Candidate Profile
 

Qualifications:

  • Applicants should have a sound knowledge of Microsoft Office and outlook applications, strong time management skills and the ability to plan ahead and juggle competing priorities successfully.
  • Previous secretarial and general office experience with a good knowledge of office practices, procedures and administrative systems, including experience of dealing with confidential and sensitive information and correspondence.
  • Experience of supporting a team in a busy and changing environment.
  • Ability to organise meetings, travel itineraries, teleconferences etc.
  • Ability to develop and maintain efficient filing systems.
  • Knowledge and understanding of legal practices and/or legal secretarial experience would be beneficial but is not essential.
