Job Description


Under the responsibility of the manager of the administrative center, you process and follow all or part of the administrative elements in the management of individual personnel files relating to career, remuneration, social protection in compliance with the law and applicable internal rules in the matter.

Your main responsibilities are:

  • Administrative formalities related to hiring
  • Create new hires on Cegid with registration of all their administrative data and update individual files
  • Process the mandatory authentication declarations of foreigners hired for positions based in France, prior to hiring
  • Process mandatory pre-employment declarations
  • Establish employment contracts and endorsements by ensuring the legal framework of the different types of contract (CDD, CDI, VSI, CDDU, subsidized contracts, work-study contracts, etc.)
  • Send signed contracts and endorsements by email and ensure follow-up
  • Provide administrative briefings for all new hires
  • Constitute personnel files with centralization of documents and consistency control of documents
  • Affiliate employees to organizations (FR and international mutual funds, FR and international pension plans, CFE, etc.)
  • Organize medical visits related to hiring with appointment scheduling and coordination with services (Pasteur Institute and occupational medicine) and follow medical recommendations for implementation with course managers.

Contract life management

  • Monitor and respond to employee requests (resignation, early termination, request for sabbaticals and various employer, mutual insurance, etc. certificates)
  • Establish duplicates of contracts or endorsements according to specific needs (work visa application, English version, etc.)
  • Update the different dashboards (monitoring of hires, deadlines, trial periods, etc.)
  • Monitor the residence and work permits of foreigners hired for positions in France with analysis of situations and creation of supporting documents in order to support the request for a permit, relaunch of employees and administrations
  • Update hierarchical links in the HR portal for leave validation


  • Regularly carry out a legislative watch on the rights of employees in order to best respond to their request (rights to parental leave, parental presence, donations from RTT, ...)
  • Also inform employees about their rights within the organization, MdM agreements, tools / forms and HR procedures
  • Follow up on the invoicing of the Institut Pasteur
  • Participate in transverse or specific files
  • Supporting employees in the implementation of individual job retention solutions in consultation with prevention doctors and career / recruitment officers


  • Skills or initial training in HR administration
  • Experience in personnel administration desired
  • Sense of thoroughness, organization and quality of service
  • Good interpersonal skills , responsiveness, organization, adaptability, autonomy, taste for team work
  • Mastery of software desired pay (CEGID RH Place a plus)
  • Proficiency in office tools (Word, Excel, Internet)
  • Fluency in oral and written English essential
  • Abilities for analysis and synthesis
  • Respect for confidentiality
  • Understand and interpret the legal framework for personnel administration and rules
