Responsibilities:

  • Provides guidance to staff in Headquarters and Field Offices on searching and retrieving statistical data from information systems. Coordinates/reviews/conducts research, analysis, reports, surveys as transversal support to other sections to facilitate strategic decisions to be taken. 
  • Promotes a culture of compliance, accountability, ethical behavior, and transparency within the organization by conducting internal reviews from a compliance and quality assurance perspective and assistance visits; identifies abnormalities and areas of risk; makes recommendations to the Head of Section for corrective actions and new measures to strengthen the internal controls.
  • Develops/proposes and monitors performance compliance indicators and determines with relevant stakeholders action plan to improve performance.
  • Prepares and/or coordinates the responses to audit reports and addresses any alleged violations of the Agency’s financial rules, regulations and policies related to procurement, supply chain, fleet management and general administration services.
  • Monitors implementation of mitigation measures pursuant to auditors’ observations. 
  • Contributes to the development and delivery of training programs in the areas of procurement, supply chain; analyses results and identifies skill gaps and training needs including best practices. 
  • Oversees the implementation and monitoring of inventory management policies and procedures across all Field Offices to monitor and analyze slow-moving, dormant, and expired stock to reduce waste and improve inventory turnover.
  • Uses findings to guide strategic decisions and ensure compliance with inventory policies.
  • Establishes escalation protocols for high-risk inventory issues and ensures timely resolution through field office collaboration.
  • Leads the strategic enhancement of inventory management protocols during emergency responses, ensuring agility and compliance under pressure.
  • Monitors stock rotation, using data from SAP and expiry reports.
  • Escalates to the relevant stakeholders’ high-risk inventory issues and coordinates with field offices to resolve them quickly.
  • Develops, proposes/ and monitors performance indicators and determines, with relevant stakeholders, an action plan to improve performance.
  • Uses the data to spot problems, improve stock flow and expiry tracking, and share results with leadership to guide better decisions.
  • Oversees and manages coordination with the Field Office on the submission of the Inventory cases to the HQ Property Survey Board.

Requirements:

  • A first university degree from an accredited educational institution in business administration, engineering, computer science, public administration, procurement, supply chain management, contract law, auditing or related area.
  • A minimum of six years of progressively responsible professional relevant work experience in systems analysis, business analysis, procurement, contract management, supply chain management, administration, auditing or a related area is required.   
  • English and French are the working languages of the United Nations Secretariat.
